Putting Your Best Foot Forward: Tips and Tricks for Client Proposals
This blog was inspired by a conversation on the Seed to Success podcast. You can listen to the full episode here.
You hit send on a proposal, and then nothing. No reply, no rejection, just silence. And it's easy to start questioning your skills or your experience.
Here's what most people never get told. It's rarely about your skills at all. It's about what your proposal is actually communicating before you ever get the chance to speak.
Your Proposal Is Doing the Talking For You
Before a client has a discovery call with you, before they've heard your voice or felt your energy, they've already formed an opinion. That opinion comes entirely from what you've sent them. It's not always fair, but it's how positioning works in a service based business.
Think about it from the other side for a moment. A business owner puts a call out for support and receives a handful of proposals back. On paper, most of the people applying have similar skills and similar experience. So what separates the person who gets the discovery call from the person who doesn't? Usually, it's presentation, clarity, and how tailored that submission feels.
Polish Isn't the Point, Standards Are
This isn't about needing a beautifully designed, expensive looking document. Plenty of proposals that win clients are simple. What matters is whether it reflects the standard you actually work to.
A proposal with mismatched fonts, spelling mistakes, or generic copy that's clearly been sent to twenty other leads tells a client something, whether you meant it to or not. It suggests that same rushed energy might show up in the work itself. A proposal that's tailored to the specific brief, free of errors, and easy to skim signals exactly the kind of professionalism a business owner is trusting you with when they hand over their inbox, their diary, or their finances.
The Simple Question Worth Asking Yourself
Before you send anything off, ask yourself honestly, would I hire myself based on this? Does it show what you can actually do, or does it undersell you?
So many capable, experienced people send through submissions that don't reflect how good they really are. It's not a skills problem. It's a standards problem, and it's fixable in the ten minutes before you hit send.
What to Make Sure You're Including
A few things make a real difference here, and they're easy to overlook when you're moving quickly. Include a genuine, friendly photo, not one cropped from a family gathering. Make your contact details easy to find, so a client who's ready to book doesn't have to go looking for a way to reach you. List your services with the ones the client specifically asked for at the top, rather than making them dig for relevance. Include the systems and tools you're confident using, especially if the client has mentioned specific ones. And add a short section about who you are outside of work. Clients want to know they're bringing on a real person, not just a list of services.
Testimonials matter too. They give a client evidence beyond your own word, which builds trust faster than anything you can say about yourself.
Tailoring Beats Length Every Time
A longer, more detailed proposal doesn't win more trust. A tight, well formatted couple of pages that speaks directly to what the client needs will always outperform something long and generic. Business owners reaching out for support are usually already stretched thin. Make the decision easy for them.
A Small Shift That Makes a Real Difference
None of this requires reinventing how you present yourself. It's slowing down before you hit send, reading your document with fresh eyes, and asking whether it actually reflects the standard of work you're capable of. That extra ten minutes can be the difference between blending into a pile of submissions and being the one who gets the call.
You already have the skills. Now make sure your proposal proves it.
